Hard Copy Braille

The Accessibility Team for Assessments provides support for defining and managing the development and production of printed braille materials required for State, Federal and Clinical Assessment contracts. The information below defines how our team can support your braille production needs.

For State, Federal and Clinical Assessment contracts, Pearson provides accommodations for blind and visually impaired students who use hard copy braille in their everyday instruction and as an accommodation in the classroom.

Braille production support is available to program management and other teams for the duration of each contract. In addition to support throughout the braille process, assistance from the accessibility team is also available to assist in the research and recommendation of vetted and qualified resources to secure braille item review and third-party proofing when required by a contract.

Gathering and Defining Braille Requirements

For new or existing contracts, support is available to:

  • Research and define braille requirements - Review contract and supplemental documentation for braille scope requirements and define requirements by subject, braille code and braille format.
  • Assist with braille planning and forecasting – Work with Pearson teams to complete braille requirements in the Project Specification Form, owned by Operations.

Braille Scheduling and Process Management

Support is available to help review, create and manage the braille schedule for hard copy braille accommodations as defined in contracts by providing the following:

  • Define Braille Schedule Requirements - Define scheduling requirements based on third-party item review, client involvement, third-party proofing, etc.
  • Braille Schedule Creation – Assist in the creation of the braille schedule to include tasks and durations based on subject, code, braille format and third-party requirements
  • Braille Process Management - Assist in managing the braille process from transcription through material delivery, to include vendor communication and vendor management

Braille Issue and Financial Support

Support is provided to review, create and manage the braille issues and financial forecasting and closeout for hard copy braille accommodations by providing the following:

  • Braille Issue Reconciliation and Reporting - Work with the braille vendor and contract program management to define, report and reconcile quality and vendor issues
  • Braille Financial Forecasting - Provide financial forecasts for planning contract budget requirements
  • Braille End of Administration Financial Reconciliation and Reporting - Provide final spend for braille for end of administration and end of year reporting to Finance

Vendor / Consultant Management

To support programs that require hard copy braille, the Accessibility Team for Assessments will manage the accessibility vendors and consultants contracted to provide services and products related to hard copy braille accommodations. The Accessibility team supports individual contracts by providing the following services:

  • Consultant Selection - Provide recommendations for selection of vetted and qualified consultants needed to fulfill third-party item review or proofreading requirements
  • Vendor Selection - Select braille vendors based on contract scope requirements and braille vendor capacity
  • Vendor/Consultant Statement of Work Guidance - Provide guidance during the vendor or consultant Statement of Work creation process
  • Ongoing Planning, Forecasting and Scheduling Support - Provide planning, forecasting and scheduling support throughout the braille creation and delivery process through weekly vendor meetings and ongoing vendor communication
  • Braille Vendor Management - Manage the braille vendors through issue resolution, auditing of vendor systems, processes, and process improvement
  • Committee Meeting Support - Provide on-site or remote braille support during braille review committee meetings
  • Third-Party Review Support - Provide on-site or remote braille support during third-party braille item review and third-party braille proofreading process
Training

Program management and other support teams may request training on various braille production topics. Topics may include, but are not limited to:

  • Understanding the differences in various braille codes
  • Understanding the steps in the creation and implementation of hard copy braille accommodations
  • Understanding the quality measures Pearson has implemented to ensure the production of quality braille
